Spain VAT documnets requesting extension being rejected with no explonation
Due to recent changes in Spanish VAT legislation for UK-based companies, we were required to apply for a new Spanish VAT number. Amazon provides an option to request an extension, so we contacted AVASK (our tax advisor) to supply documentation confirming that the Spanish VAT application had been submitted.
I uploaded two official documents from the Spanish tax authorities showing that the application is in progress, along with a letter from AVASK explaining the situation. All documents are valid and within date, yet they keep being rejected without any explanation.
When I click the links in the rejection emails (which come from a no-reply address), they redirect to an internal Amazon employee site, so they are completely useless. This situation is having a huge impact on my Pan-EU fulfilment and, ultimately, my entire business.
I have emailed **vatsubmit** and opened numerous cases in Seller Central, but so far I have received no meaningful support or guidance.
I would really appreciate it if anyone who has experienced a similar issue could share advice or suggest how to resolve this.
Thanks in advance

Hello @The_Happy_Workshop,

I apologize for the delayed response to your post. This is Jonathan from Amazon and I want to provide you with some guidance based on your post.
I can see you've been working diligently to comply with the Spanish VAT requirements and have submitted documentation from both the Spanish tax authorities and your tax advisor AVASK. I understand how concerning it must be to have your extension requests rejected without clear explanation, especially when this impacts your Pan-EU fulfillment operations.
Based on my observations from your post, I want to provide you with a sense of direction moving forward.
For Spanish VAT extension requests, the documentation requirements are specific to ensure proper validation. When UK-based sellers apply for Spanish VAT registration, the system typically looks for particular forms from the Spanish tax authorities. The standard documentation includes Form 030 and Form 036, along with proof that these forms were submitted online to the Administración de la Agencia Estatal de Administración Tributaria (AEAT). While the documents you've submitted from the Spanish tax authorities and your tax advisor demonstrate your application is in progress, the validation system may require these specific form numbers to process your extension request.
I recommend reaching out to your tax advisor AVASK to confirm whether the documents they provided include Form 030 and Form 036 specifically. If they submitted alternative documentation on your behalf, you may need to request that they provide copies of these standard forms along with confirmation of their online submission to AEAT. Once you have these specific documents, you can provide them through the Account Health page for your extension request.
To help me understand your situation better, can you confirm whether the documents you submitted included Form 030 and Form 036 specifically, or were they other types of confirmation from the Spanish tax authorities? Also, when did you first submit your extension request, and approximately how many times has it been rejected?

I closed my Spain vat number down December, deregistered effective 01/01/26
We did everything as should – removed stock well ahead of time, disabled storage etc
But this week was hit with a vat compliance violation, regarding having storage. It has now gone PAST DUE and impossible to address without just getting a new number it seems.
Everytime I appeal I get the same response from amazon, and they do not seem to recognise we have deregistered meaning should have no obligation anymore.
Their only answer is to upload a valid number, every time.
So do I really need to now go re-register one just to solve this? Seems odd to me.
Likewise CZ, which isn't even a marketplace by itself and is used for storage, we received a fresh warning about our 'ship-from' settings. We closed that down too, disabled storing there 6 months ago, so something is causing this but is making no sense anyway as we use FBA only.
@Jonathan_AmazonAny ideas what to do, are sellers just not allowed to deregister cleanly, the tax authorities do not approve dereg if there is anything in vat due, or have stock stored.
It feels like amazon is sending warnings triggered from past events and there is no sensible way to speak to anyone. I feel like just re-registration is the only solution at this point to avoid wider business impact here.
Can you also please confirm if an ES vat warning like this is just connected to Spain, and will not impact our UK account?

Hello @The_Happy_Workshop,
Hi Jonathan, thanks for getting back to me. I have done 9 submissions via the account health page and at least 4 via email provided by amazon advisor on the phone - emails I had no response whatsoever. I have contacted AVASK and they assured me that the forms they sent to me to upload to amazon are the only ones they have (only form 036), yet they were still rejected. Never had a response for my emails. For Italy I had a document rejected and it was still before the past due date when I submitted a new one (provided from avask) and just got a generic response from amazon that the document has been rejected as it's past due the date for submission (it wasn't). From my lengthy conversation with AVASK they assured me that amazon is AWARE of the situation with Spain and Italy, but I do not see any real support. This is devastating for my seasonal business (we sell Easter items) and by the look of it will miss on the trade this year.
I apologize for the delayed response to your follow-up. This is Jonathan from Amazon and I want to provide you with some guidance based on your post.
Based on my observations from your post, I want to provide you with a sense of direction moving forward.
I can see you have been working diligently to resolve this, and the effort you have put in — multiple submissions through every available channel and ongoing coordination with your tax advisor — is clear. I want to make sure you have the clearest possible direction from here, especially given the time-sensitive nature of your business.
For Spanish VAT registration, Form 036 is indeed the correct starting point and serves as the foundation of the registration process with the Spanish tax authorities. However, the registration process typically also requires additional supporting documentation to be provided alongside Form 036. This includes proof that the form was provided online to the Spanish tax authorities, as well as documents that describe your taxable activities and evidence of intra-community transactions, such as copies of invoices and customer orders. It is possible that the submissions have been reviewed against these broader requirements, which may explain why Form 036 alone has not been sufficient to complete the extension request. I would recommend reaching out to AVASK to confirm whether the complete documentation package — including proof of the online submission and the supporting transaction evidence — has been included in your submissions, as this may be the key to moving forward.
Regarding the Italy situation, I understand you provided a new document before the deadline and received a rejection citing a past-due date. I would encourage you to carefully review the specific dates referenced in the rejection notification, as the deadline shown on your Account Health page is the most accurate reference point. If you believe the document was genuinely provided within the required timeframe, continuing to provide information through the Account Health page with a clear note of the submission date may help clarify the situation.
To help me understand your situation better, could you confirm whether the documents provided for Spain included any proof of the online submission to the Spanish tax authorities alongside Form 036, or were they limited to the form itself? Also, is the extension request still showing as active on your Account Health page, or has the status changed since your last submission?
