Negative Reviews: What You Can (and Can't) Do About Them

Hello Sellers,

Receiving a negative review is frustrating, particularly when you've put genuine effort into delivering a quality product and service. However, a single poor review doesn't define your business. What matters is how you respond: calmly, strategically, and within Amazon's guidelines.

Here's a practical guide to managing them effectively.

First: Understand What You're Dealing With

Before taking action, identify whether you've received a product review or seller feedback. These are different things with different resolution paths.

Product reviews appear on the product detail page and reflect the customer's experience with the item itself. They do not affect your seller performance metrics.

Seller feedback appears on your seller profile and reflects the buying experience (delivery, packaging, communication). This does affect your performance metrics.

When Can Amazon Remove a Review?

Amazon will only remove a product review for these specific reasons:

  • The review violated Community Guidelines (offensive language, irrelevant content, or promotional material)
  • The reviewer removed it themselves
  • Multiple products were incorrectly listed as the same product
  • Amazon detected unusual review behaviour and is limiting review display

Important: If a review remains active 48 hours after you report it, the moderation decision is final. There is no secondary appeals process for standard cases.

What You Can Do: Step-by-Step

1. Report the review (if it violates guidelines): Locate the review on the product detail page and select the "Report" button beneath it. Follow the prompts to submit your reason. Amazon's moderation team will review within 48 hours.

2. Respond professionally to seller feedback: For seller feedback (not product reviews), you can post a public reply via Feedback Manager. Keep it brief, professional, and solution-focused. Avoid arguing or sounding defensive

3. Address the root cause: Read the review carefully. Is there a genuine product issue? A listing description that could be clearer? Use negative feedback as data to improve your offering.

4. Request reviews from satisfied customers: Use the "Request a Review" button on the order details page. This is available between 5 and 30 days after the delivery date. More positive reviews naturally dilute the impact of negative ones.

What You Must Never Do

Amazon has a zero-tolerance policy on review manipulation. The following will result in immediate action against your account:

  • Offering compensation (discounts, refunds, free products) in exchange for reviews or review changes
  • Asking a reviewer to change or remove their review
  • Using third-party services that sell reviews
  • Having family members or employees post reviews
  • Diverting negative reviews away from Amazon

Violations can result in permanent loss of selling privileges, fund withholding, product delisting, and legal action.

Focus on What You Can Control

A negative review is not a crisis — it's information. The most successful sellers use critical feedback to refine their products, improve their listings, and strengthen their customer service. Over time, consistent quality speaks louder than any single review.

Hi,

Thank you for introducing and clearly explaining Amazon's review policies. I have read and understood them. However, I would like to raise a concern about some buyers who misuse these policies, especially given the strict review guidelines that sellers must follow.

When a buyer purchases a Prime item and then contacts the seller claiming there is a defect. Although Prime orders are eligible for free returns, some buyers demand a full refund while also wanting to keep the item. In some cases, they state that if the seller does not issue a refund without requiring a return, they will leave a one-star negative review.

This places sellers in a difficult position. If the seller refuses to provide a refund without the item being returned, the buyer may leave a negative review as a way of pressuring the seller. Even when these incidents are reported to Amazon, it is often unclear whether such reviews will be removed if they appear to have been used as leverage.

Could you please explain how Amazon handles situations like these? Specifically, what protections are available for sellers when buyers attempt to use negative reviews to obtain refunds while keeping the product?

Many thanks for your time and assistance.

I don't for one second beleive this has ever happened. Clear violations of review policys always stay active. I've followed these guidelines, and they stay active.

I recently received this review, and noticed that the buyer left a nearly-identical review on a competitor's item on the same day.

The message is the same, but they have changed some words and moved others around - see the matching highlights.

That initially set off alarm bells, but I believe it is a genuine person who is just confusing me for the other seller due to buying both at the same time.

My item has only been available for 9 months, and has never increased in price or changed in any way (e.g. size). I have received no other orders from this buyer, despite them saying they have been buying it for years. I have only been on Amazon for just over 1 year.

The other seller is based in China, has items which have been available for 3+ years, has all the top-selling items in the category, and uses review sharing for dissimilar designs. This review means nothing to them, but will kill all momentum for my Handmade item.

Due to sales volume, I am unlikely to receive enough reviews to drown this one out. I have received some lovely seller feedback for this item, but only 1 other product review.

Is there really no way to contest it other than the report button, which I tried on Sunday but was given no option to explain or link to the identical review?

over The last 3 years over 95% of negative feedback I have received are for products that I have never sold they have been products sold by other companies according to Amazon I am responsible for these products I never sold and I am also responsible for other companies I have lost count of the many times customers have sent private messages through Amazon or contacted me by phone to profusely apologise for mistaking feedback they left for me when it was meant for another seller so many of them made contact with Amazon only to be told if they are good sellers they will get enough feedback to hide your feedback when you only get 1 feedback for every 1800 sales it gives a very distorted feedback view on all other channels combined I have received one negative feedback in the last 3 years

My strategy is concentrate on other sales channels as the once powerful work horse that was Amazon has died and is not coming back to life it is not worth the effort anymore and I am selling here since 2008. since Sept 2019 this site has been in decline its hostility towards 3rd party sellers is beyond appalling

The issue isn't receiving negative reviews. Every product receives negative reviews, and sellers have to accept that.

The real issue is when a review clearly violates Amazon's own community guidelines, yet it still remains published. If Amazon has established these guidelines, they should be enforced consistently. Sellers aren't asking for genuine negative reviews to be removed, only for reviews that clearly breach Amazon's own community guidelines to be handled appropriately.

This one is turning into a nightmare. Buyer arranged a return on 28 June, and Amazon’s own tracking shows the courier attempted collection but the buyer wasn’t home to hand the parcel over.

Despite that, I’m now stuck with a negative review I can’t get removed, even though none of this was my fault. Order was delivered, return was authorised, courier attempted collection — the only failure point was the buyer not being available.

It’s incredibly frustrating how we end up taking the hit for situations completely outside our control.

Oh, they have also opened an A-Z against me too. No doubt that will punish me further. Very frustrating.

Buyers shouldn't be allowed to leave 1-2 star reviews without an explanation.

How is a seller going to learn from these if no indication of the problem has been left?

Due to sales volume, I am unlikely to receive enough reviews to drown this one out. I have received some lovely seller feedback for this item, but only 1 other product review.

Is there really no way to contest it other than the report button, which I tried on Sunday but was given no option to explain or link to the identical review?

I recently received this review, and noticed that the buyer left a nearly-identical review on a competitor's item on the same day.

The message is the same, but they have changed some words and moved others around - see the matching highlights.

That initially set off alarm bells, but I believe it is a genuine person who is just confusing me for the other seller due to buying both at the same time.

over The last 3 years over 95% of negative feedback I have received are for products that I have never sold they have been products sold by other companies according to Amazon I am responsible for these products I never sold and I am also responsible for other companies I have lost count of the many times customers have sent private messages through Amazon or contacted me by phone to profusely apologise for mistaking feedback they left for me when it was meant for another seller so many of them made contact with Amazon only to be told if they are good sellers they will get enough feedback to hide your feedback when you only get 1 feedback for every 1800 sales it gives a very distorted feedback view on all other channels combined I have received one negative feedback in the last 3 years

My strategy is concentrate on other sales channels as the once powerful work horse that was Amazon has died and is not coming back to life it is not worth the effort anymore and I am selling here since 2008. since Sept 2019 this site has been in decline its hostility towards 3rd party sellers is beyond appalling

Negative Reviews: What You Can (and Can't) Do About Them

NOTHING - you can do nothing about them

This should also be the case for 'voice of the customer'.

if there is no reason for the poor marks then how are we able to improve
