Most recent share allotment document?

We’re struggling to get past the verification stage. We’ve registered as a ltd company and Amazon requires us to provide the ‘most recent share allotment document’ as per the email below:

Hello,

We need some additional documents to continue with your account verification.

The business document you provided was not the most recently filed share allotment document for the company.

Please upload the documents listed below to the “Settings” section of Seller Central:
https://sellercentral-europe.amazon.com/hz/sc/account-information
It is important that the documents are easy to read. The information on the documents should also match the information entered in Seller Central.

The document must be in one of our supported languages. The supported languages are English, Chinese, Dutch, German, Italian, Spanish, Swedish, French, Turkish, Polish, Portuguese, Arabic, Hindi, Tamil, Vietnamese, Thai, and Japanese. If the original document is not in a supported language, please provide a copy of both the original document and a certified translation.

– A copy of the company’s most recent share allotment document. This usually takes the form of a Statement of Capital, an Annual Return or a Confirmation Statement. It may show the number of shares held by each beneficial owner and the number of shares issued for the company. You can download this document from the UK Companies House website:
https://beta.companieshouse.gov.uk/.

We do not accept screenshots.

If you do not upload this document within 60 days, we will be unable to prevent the suspension of your Amazon Payments UK (APUK).

Once we have received the required documents, we will continue with your verification.

If you have any questions, you can contact us at any time, by clicking the link below and selecting “Your Account” and then “Account Verification”

The Amazon Payments Team

Originally I provided a scanned document containing the Memorandum of Association + Articles of Association. This was rejected for the reason stated above. Then I uploaded a scanned document containing a share allotment (Statement of Capital which I requested from Companies House and paid £30 for) + Articles of Association (all in the same document). Again, this was rejected for the same reason… as not being ‘most recently filed share allotment document’.

I’m not sure what they want from us at this point. On the verification page, they state that they want: Submitted Statutes should contain Articles of Association and a share allotment document (statement of Capital/ Annual return/ share register).

I provided the Articles of Association + Statement of Capital (which shows the total number of shares = 1) as per this image:

But this document doesn’t state the share ownership (i.e. I own 1 share so 100% since there is only 1 share anyway). But in the email, Amazon states:

It may show the number of shares held by each beneficial owner and the number of shares issued for the company.

Can someone please advise? Thanks

I got a reply from Amazon SS:

Hello from Amazon Selling Partner Support,

I understand that you are contacting us regarding your account verification.

After investigation, the business document you provided was not the most recently filed share allotment document for the company and you only provided one page IN01, therefore, the verification team requires the most recently filed and complete share allotment document.

A copy of the company’s most recent share allotment document. This usually takes the form of a Statement of Capital, an Annual Return or a Confirmation Statement. It may show the number of shares held by each beneficial owner and the number of shares issued for the company. You can download this document from the UK Companies House website:
(link)

Please note we are not allowed to view sensitive information or transfer your documents to the verification team as it is very sensitive and must be stored in a secure location in order to comply with data protection. Please submit the most recently IN01 complete document via below link:
(link)

Once the verification team has received the required document, they will continue with your verification. And once there are any updates from the verification team, they will contact you via Performance Notifications: (link)

If you have further concerns and wish to contact the verification team, they can only be contacted by this email address:
seller-verification-enquiry@amazon.co.uk

So if I understand correctly, they want form IN01, available here: https://assets.publishing.service.gov.uk/government/uploads/system/uploads/attachment_data/file/946155/IN01-V8.0.pdf

But I’m confused as this form looks like the form necessary to register a ltd company. Ours has been registered (only we’ve done it via CH’s online system instead of sending this form). Do I just fill it in and send it to Amazon?

I had a similar issue a couple of months ago.

They asked for the confirmation statement showing the shareholders in my company.

Unfortunately the confirmation statement does not show this information unless there has been a change. I tried to explain this but in true Amazon style they just kept asking for the same information.

I got around this by changing the shareholding in my company and then requesting a new confirmation statement.

@Waverly I am dealing with same thing. Upon talking with Amazon’s call back service on Plan of Action page, I got to know they had concern with my Personal Address Verification not my Company.

In case of such issues, the best bet is to kill the assumption at first. Talk to Amazon, tell them you are unable to understand what exactly needs attention.

At each rejection, it gets complicated and difficult. Prayers are with you.

All the best (Y)

@Smiley_Guy and @The_Little_Shop

Still no update per se, but the message displayed on the ‘Reactivate your account’ page is different. It says:

‘We completed our evaluation of your submission. We do not have enough information to remove the violation at this time.’

It isn’t very specific and quite frankly I’ve no idea what to make of it.

I was thinking to maybe close this account completely and try reopening it and providing the correct information from the start. Would it work?
