VTR issues

All of a sudden today our VTR has plummeted. Looking at the report there's loads on there that shouldn't be counted as a defect. Each report is negative for "was a tracking id uploaded" and "did the carrier provide a final scan". Each of these orders had a valid tracking number with Royal Mail (T24 or T48) and were all scanned as delivered on time. "Was the parcel ship confirmed before actual delivery?" are all yes so there is evidence the tracking number is there but just not being counted. The range of days is 25th-26th Feb for all of these and I know from last week for another post I created that RM were having issues in providing tracking.

Does anyone else have problems with the VTR today using RM?

Our column for Tracking ID are all 'invalid' and the Ship method is "stamps franking".

We always mark our orders as shipped and then the same evening upload the tracking manually. This was always ok so I'm wondering if this has changed and a tracking number now has to be uploaded when you mark it as shipped at the same time?

We have the same issue - each day it is getting worse as the 30 day window moves. We now have 60+ orders showing as invalid tracking but when you go into the orders on Seller Central every single one has valid tracking numbers that were all added days before the package was delivered.

Looking at the reports it appears Amazon made some kind of change to the VTR report recently so I think it's broken. I have logged a case with Amazon support because I don't want it to restrict our listings when it appears their system/report is broken

Hi Mods... If this is something you could help with or clarify it would be greatly appreciated. Our case ID is 12208801032. We have a work around for the error that we started instantly but in the meantime our VTR is dropping by the day due to the 10 day lag. Combined with the 30 day rolling period our VTR won't be back to 100% for another 37 days.

The VTR policy states that tracking can be added amended up until the point of delivery (which is usually 4-5 days for us) but it appears all tracking is being locked in at the point of being marked as despatched and can't be altered or added between then and the delivery date. We're at 88% now and I predict it'll peak at it's worse around 50% in 2 weeks, level out and then slowly raise again.

Will we be suspended for this or restricted in any way?

Getting hit with the exact same issue.

Never been a issue, we are intergrated with click and drop. Never had a issue, VTR always been very good but now is at 85.91% and dropping daily.

From my download on the VTR page, it appears to have started 25/02.2026 and every order thereafter has invalid tracking....despite us not changing anything in the way we ship.

I downloaded the report, and I am able to track every order to the customers door...

286 orders from 25/02/2026 to 03/03/206 - which is all of them...show as invalid tracking on my VTR report. This must be a internal issue and should be escalated.

I would be curious to know if others are seeing issue from the same date onwanrds.

I have asked my royal mail rep and they have said no issues reports.

Hey… yes, they’re all starting from that date. It’s a concern that you’re integrated with click and drop. Most of us that have the issue manually upload tracking a few hours after marking as despatch. You could always add or edit tracking up to the delivery promise date previously. The problem is that the VTR ‘snapshot’ is locking in at the stage when the ‘despatch’ button is hit and no other snapshot for the VTR is taken after this (when it normally is).

I’m not sure how integrated click and drop works but does it upload the tracking instantly? If not, and there’s a lag, a lot more integrated click and drop businesses will be affected and stop popping up soon when they notice.

We have also had the same issue start this week, the worst VTR rating we have ever seen on our account. Which is now affecting the OTDR due to "invalid" tracking numbers.

Had our Royal Mail account manager in, and have been told all tracking data is present for all the orders that have been reported to us via Amazon with "invalid" tracking numbers.

We contacted Amazon support, and all I can say about that is it was an absolute waste of time.

Someone's system is clearly not working or communicating as it should be, and its not us yet we are being penalised for it?

We login to click and drop, all orders are there from Amazon.

We mark as dispatched on Amazon without tracking info, then when we print on click and drop it uploads the tracking numbers back to Amazon.

Click and drop generates a tracking number when we apply postage and manifest. It all then syncs to Amazon.

It has always worked so well, something has changed but neither Amazon or RM have said it. I also saw a DHL shipper with same issue, so it must be Amazon

apparently there’s a 5-10 minute lag of RM uploading the numbers from integrated click and drop. The rest of us who don’t have it integrated manually input tracking numbers so it’s not a RM issue. It’s Amazon.

With our premium delivery orders we process these in a different way and the tracking is uploaded before we hit despatch. None of these are affected or on the defect report.

Amazon is locking in the tracking at the time of despatch and not fetching data after this like they usually do.

ah ok so it sounds like you need to upload the tracking number before hitting dispatched and even 10 mins later is too late….

It’s a lot of copy and paste but whatever they say I guess!

As a fix for now yes, until they sort it. Even then if you start that now it’ll take around 6 weeks for vtr to return to normal. This couldn’t be a new norm or a change of policy because of all the businesses that are click and drop integrated.

Latest I had from amazon was it is down to us marking as dispatched, without tracking info.

We always have marked as dispatched, as we pack orders, royal mail click and drop then update tracking numbers and upload when we manifest at the end of the day.

But amazon said they need them at the time we mark as dispatched, so we are doing that now....so tracking is uploaded at the time we click dispatched, instead of 10 mins after etc.

Not sure that is the issue though, as done it like this for over a year. We have just lost premium shipping because of our VTR rate, so damage kind of already done....

The good news is that your account is in good standing. While no immediate action is needed, I recommend keeping an eye on your metrics for the next 2-3 weeks just to ensure everything stays on track. I want to assure you that your metrics will naturally improve when the current time window updates, and these order impacts will be automatically removed from your account.

Best Practices Moving Forward

To prevent future VTR issues:

• Enter tracking information immediately at dispatch - within 24 hours of order confirmation, ideally at the moment of carrier handoff

• Ensure tracking is active in the system before any reports are generated

• Continue using Royal Mail's approved tracking service as you have been

• Double-check that tracking information is successfully saved in Seller Central right after confirming shipment

• Consider using Amazon Buy Shipping - labels purchased through Buy Shipping automatically populate valid tracking information, eliminating manual entry timing issues

Hate to be that guy but the last bullet point is what i am thinking this is all really about....

Has anyone had any luck with this? I am still seeing invalid tracking on my VTR reports, despite being able to track all the way to the customers door, with pictures, and the tracking number was uploaded within 24 hours of dispatch....all of which has previously ticked all valid VTR boxes....

I’m not sure how integrated click and drop works but does it upload the tracking instantly? If not, and there’s a lag, a lot more integrated click and drop businesses will be affected and stop popping up soon when they notice.

Hey… yes, they’re all starting from that date. It’s a concern that you’re integrated with click and drop. Most of us that have the issue manually upload tracking a few hours after marking as despatch. You could always add or edit tracking up to the delivery promise date previously. We have also had the same issue start this week, the worst VTR rating we have ever seen on our account. Which is now affecting the OTDR due to "invalid" tracking numbers.

Had our Royal Mail account manager in, and have been told all tracking data is present for all the orders that have been reported to us via Amazon with "invalid" tracking numbers.

We contacted Amazon support, and all I can say about that is it was an absolute waste of time.

Someone's system is clearly not working or communicating as it should be, and its not us yet we are being penalised for it?

ah ok so it sounds like you need to upload the tracking number before hitting dispatched and even 10 mins later is too late….

As a fix for now yes, until they sort it. Even then if you start that now it’ll take around 6 weeks for vtr to return to normal. This couldn’t be a new norm or a change of policy because of all the businesses that are click and drop integrated.

We always have marked as dispatched, as we pack orders, royal mail click and drop then update tracking numbers and upload when we manifest at the end of the day.

But amazon said they need them at the time we mark as dispatched, so we are doing that now....so tracking is uploaded at the time we click dispatched, instead of 10 mins after etc.

Has anyone had any luck with this? I am still seeing invalid tracking on my VTR reports, despite being able to track all the way to the customers door, with pictures, and the tracking number was uploaded within 24 hours of dispatch....all of which has previously ticked all valid VTR boxes....
