Missing receipts in Inventory Ledger files?

There’s an issue we started noticing as far back as October last year. It doesn’t happen super often, but often enough to be a problem, and I noticed it just happened a week ago.

We have an internal system for tracking our inventory, and we sync our Amazon FBA inventory to it by uploading Amazon reports for various transaction types. We started to notice some weird issues with the FBA Receiving files, so we started saving the files that we download from the Inventory Ledger.

What we’ve discovered is that sometimes Amazon seems to be adding receiving to a date retroactively. (Or something to that effect?)

Here’s a recent example:

We currently upload FBA Receiving files on a weekly basis. In the inventory ledger, we download a file for Detail view > Receipts > Exact dates. On 3/10, we downloaded a file for the dates 3/3 – 3/9. We uploaded the file to our system as usual.

On 3/17, I happened across a shipment that was received on 3/8, but didn’t show up in our system. I downloaded a new file for 3/3 – 3/9, and compared it to the file for the same dates downloaded on 3/10.

I found 179 lines of receiving that are on the 3/17 file, but weren’t on the 3/10 file.

All of these missing lines were supposedly from 3/8. (So it shouldn’t be an issue with downloading files too soon)

In some cases, entire shipments were missing from the 3/10 file. In other cases, only some items are missing.

I sorted it by warehouse to see if that was the issue. Same thing. For some warehouses, all of the transactions are missing. For others, only partially.

I only noticed one trend: For the 3/3 - 3/9 date range, the "Date and Time" column only has one value per day, (ex. 2025-03-07T00:00:00-0800)- EXCEPT 3/8, which had two values, with "T00:00:00-0800", and "T23:00:00-0800". ALL of the missing transactions had the "T23:00:00-0800" value. (But plenty of the items with that time DIDN'T have this issue.) The two time ranges were present on both the 3/10 and the 3/17 versions of the file.

This exact scenario has happened a few times now and it’s very frustrating. (Not sure if it affects the other transaction types- it probably does, but the Receiving is a lot more noticeable)

Has anyone else noticed this problem? Does anyone have insight into this, or if there’s a certain time/day to download the files to avoid this problem? In the past, the issue has affected the last day of the downloaded range, but we thought it was weird that this time there were issues with items received two days before the file was generated.

Small update- I just looked back to find an earlier example of this problem, and one of the first we found was in September. I pulled a new file for that date (don't have the old one anymore), and it doesn't seem to have the same weirdness in the Date and Time column.

The time thing still seems weird, but I guess it doesn't totally explain the issue.

I haven't noticed anything like what is described here, I think, but I have noticed that Amazon will receive or unreceive products on a shipment, seemingly at random, from warehouses the products never go to and this will happen weeks after the shipment is first received.
