Post office refusing my pre-paid labels because

Hi, i wont dabble into long descriptive details, but I have an ongoing issue with my post office.

I currently send out around 15 parcels a day with them (or used to), and use the drop n go service with them, so i pay them beforehand on a prepaid royal mail card and they process it when they are not busy. However, as my order list grows, i often get missing parcels or late deliveries from royal mail, and to chase orders up, i had to sift through almost a hundred of receipts and keep them organised. As my business expanded to almost 25 parcels a day at its peak, the amount of late deliveries and lost item grew, and as a result, it came to the point i was completely not bothered to chase tracking details etc and simply issued refunds (bear in mind these are £10 items, so could take a hit to save time/headache) And I knew that if the item had not arrived to the customer by then, it as definitely lost.

As a result, i decide to use pre-paid labels through Amazon, not only do i save around 5p a parcel (after including ink and paper costs) , I can quickly chase tracking numbers with a click of a button, and also track compensation from royal mail if theyre undelivered after 30 days (or 60 days?).

So i take a prepaid batch of packages to the royal mail and i quickly noticed the post office clerk gave a sharp bulldog look that had chewed on a wasp? He exclaims that ‘we dont get paid for handling these.’ And i respond by telling him, arent you paid hourly by royal mail. And he then said 'yes but we get commission of your other parcels without pre-paid, around 7p a parcel.

I said sorry but this is because of consisntely missing parcels and lots of receipts, and this is not only cheaper but more convenient. He took the parcels albeit and literally DUMPED them on the floor so loud, i could hear the bottom parcels become flattened. So then i shot him a look as to say ‘is there a problem,’ but i quickly decided not to pursue this. I am good at sensing other peoples emotions and i could tell for some reason he was disproportionately unhappy with myself. I decided not to pursue this, and ask what the problem was and left.

So the next day, i arrive again with parcels anda different woman working at the clerk flat out refuses to take my parcels saying royal mail dont process these 2D printed labels. She said I would have to take this 20 miles away to their depot for processing. I asked what happened to yestedays parcels and she said ‘we put it through but fingers crossed they process it’

Now i confirmed with a buyer if he received them, and i know for a fact the prepaid labels are going through fine, Do i take this as the clerks definitely dont want to process my prepaid labels at all? All i ask is for them to put it in the sacks and not scan or anything. Do i trust with them my parcels?

Shall i go for an ultinatum tomorow and ask what their problem is with prepaid labels?

I had a similar problem a couple of years ago, my post office loved me. Then I was contacted by a franking machine company about using a franking machine from home, after going through the figures it was going to save me a fortune on all my postage (majority were large letters at that time saving me 18p each large letter) That didn’t effect the post office as they only make their small % on any printed label they do. I had severe issues for 2 or 3 days and eventually contacted Royal Mail because they were refusing to accept my post. I was told by Royal Mail they couldn’t force them to accept it but would report it to the Postmasters association (I think it was). I am lucky I live in Leeds where there are Post offices every couple of miles so it wasn’t an issue for me. Your problem isn’t only isolated to you, I am sure others will be having similar problems and I hope it sorts itself for you.
Royal Mail do process the 2D labels and my Post Office scans them onto the system and you get the receipt.
My 2nd class small parcels under 2kg cost £2.72 and signed for are £3.72

Not sure if this is of any help as i use click and drop but not amazon for my royal mail. Anyway the post office around the corner where i work said they wont accept a box filled with boxes but if they are in a sealed royal mail bag (the big sacks) they would accept it and give to the driver but not unless it was in a sealed royal mail bag. Might be worth asking as its no work for them just an extra bag for the driver to put in the truck on collection?

I had the issue with Tracked 24/48 as PostOffice guy refused to accept it and told me to go to Depot which then accepted my Tracker 24/48 item.

After looking at the RM site, the guy was actually right as it is mentioned on RM site that Tracker 24/48 can’t be dropped at PO and must be dropped at DO.

Tracked items must be dropped off at a Royal Mail Customer Service Point/Enquiry Office.
Tracked items cannot be dropped off at Post Offices.

There is a problem with 2D barcodes and Franchised Post Offices - they don’t have the scanners to be able to scan them, they have to manually enter the address details into their computer. So they don’t get the commission on them and they have to spend a lot of time entering details, there lies the problem and probably why you have such a big failure on your deliveries.

Open a click and drop account with Royal Mail, you can do the labels online at home, it links into eBay and Amazon, so no address typing and you can order Mail sacks from them (via the associated OBA account that you will also get). That way, you just give them your full mail sacks ready for posty to pick them up for delivery to the Sorting Office.

Once you get past a certain level of expenditure with them, they will come and pick your post from home, cutting out your local post office out completely.

We had the same issue with Click & Drop a while back.

Our local Post Office refused to accept them, claiming they had to go to a main depot instead. I did some research and called Royal Mail, they were useless, but eventually got confirmation from a manager that all local post offices MUST accept Click & Drop unless they are for Tracked 24/ 48 service.

I complete a “Bulk Proof of Postage” form, which you can download from the Royal Mail site (Google it). All they need to do is stamp the form, very little for them to do and they will accept it.

No they don’t earn comission, but I’m not travelling 5 miles (about a 40 minute round trip) for them. I’d simply take my business elsewhere.

Also FYI, if you are sending 25 parcels a day then look in to the other Royal Mail services which include free collection from your address. They work out pricing on ‘average’ weights, so it may be cheaper - however, with VAT added to the cost this can be more expensive for non VAT registered businesses.

Firstly I would report this to royal mail (but will take a long time)
The post office looses 16 p per pre paid parcel
They only make 1p
I know that because my local post office (independant) told me this
He actually said to me i dont like the pre paid parcels because i dont get paid apart from 1p
I have also had many parcels go missing when I did leave the bag with them, around 15 sometimes 20 parcels
When you do this they struggle to get your parcels out in good time so will not go till the next day, most times

Today I have signed up with royal mail business account as i am now a prime seller (you dont have to be a prime seller to open an account by the way)
I was told by royal mail i will save around 50 p per parcel using 2nd class recorded tracked (48 hrs)
I have a dedicated time slot every day for the postman to collect BETWEEN 3.30 and 5.30 pm usually the same postman
I have put up a ctv in the summerhouse all the way to the post van
I can leave them in the postal bag they provide with a plastic tie and leave in the summerhouse unlocked or provide a key

this is the best way forward and your prime buyers will increase (if you are a prime seller) and standard buyers will also be pleased
The post office you use should be reported or travel to another post office
Opening a post office business account takes 10 days to open a royal mail post office account and they bill you end of month
