VAT number rejected after 8 years

Hi all, after all January VAT saga, we've got another surpise today with email informing about Vat number is rejected....we do sell on amazon since 2013 and Vat registered since 2016 with all details provided to amazon and verified many times no problem, how on eart sellers can do any business on this platform if we are wasting time confirming same things every few months!!!!

I’ve had exactly the same email. Been here 18yrs and VAT registered since 1980 when our business started.

Hi, glad its not just me, yep got same email last night, sent vat certificate to the email but have not head anyhting yet, or even a confirmation of email received. You?

Yep same, sent them twice this morning both times rejected, they sent me an example of what they want, and it is an old style vat certificate which HMRC dont issue anymore, also a link to hmrc that is no longer used, since they brought in makeing tax digital.

The problem for me, is how HMRC store and present data, and how Amazon interpret it.

As a sole trader, I'm registered for VAT in my actual name. This is what HMRC show on their VAT number checker website. But, if I download a copy of the certificate to send to Amazon, my name isn't on it, just my trading name. As you can guess, that is a problem for Amazon.

I think this has been dealt with, as I've found the original VAT certificate from years ago, which has both my name and trading name on it. Having submitted that, I've been told 2 working days. If I hadn't got that copy, I don't know how it would have been solved.

I have used the same UK VAT number since 2018.

My Vat number is rejected yesterday, and I sent all the information and VAT certificate pdf to the amazon vat repeal email.

The first email from Amazon: the name in your VAT certificate is not the same as what we can check on the gov.uk website.

Amazon said, the business registered name is not the same as the trading name in my VAT certificate.

Amazon request me to change my business registered name as the trading name!!

This is very basic VAT knowledge, business registered name is not the trading name.

But if anyone can search my VAT number on gov.uk, and then find out my business registered name, why as the VAT holder, I cannot find anything page that shows my registered name, that not reasonable.

Since I am in China, I contacted HMRC online and chat to a human adviser, they told me, as a sole trading, my VAT certificate only includes trading name and NO business registered name. I need to let Amazon know this.

So told Amazon in my second email. I also send the HMRC adiveser chat print file to Amazon

The second reply email from Amazon, they sent 2 VAT certificate samples and requested me to provide a scan or photo of a paper VAT certificate. But their certificate sample is old version, I think what the HMRC wesite screenshot is look like the 2020 or 2022 version, not the 2024.

I screenshot a video shows how I Sign in to HMRC online services, show them how I find the VAT certificate and download it, I also show them my business detail page, there is no business registered name in this page too.

I also contact HMRC adviser online, and told them Amazon request me to provide a VAT certificate that includes my business registered name, first they told me no more thing they can do for me, then I insist they need to send me a document that shows my VAT number and business registered name. Finally they give me a register VAT email. ask me to contact the email. They also told what I told to Amazon in my email is correct, the document I download from HMRC is valid, and if Amazon have any problem with this document, Amazon need to contact HMRC to confirm it.

I have replied Amazon all the information from the HMRC, and the second chat record , and my screenshot video.

I am still waiting their reply, I hope they won't ignore my email.

It is ridiculous I need to told Amazon VAT support team all the basic VAT information and they request me to provide a document only can be find before 2024/2023.

It is also ridiculous as the VAT owner, I cannot get a document from HMRC that shows my registered business name, which is so important to a seller.

To anyone struggling to find how to get a VAT Certificate Amazon will accept:

Sign into Government Gateway at HMRC

Scroll down to VAT section

Select 'View VAT Certificate'

Click the 'Print Certificate' button

Open up 'More settings'

Change the 'Margins' option to 'Default'

Now you will see an option to include 'Headers and Footers' - make sure this is checked and click 'Save'

Took me several iterations to get this information out of Amazon. If only they thought of sending these instructions on the first request we would not have to waste so much of our and their time

I am hoping this is the end of it now - still awaiting their response.
