The products we make are already on Amazon- trying to clean things up
I’m obviously very new at this, and am having a tough time working through some basics and have found a lot of the guidance quite opaque.
We are a product manufacturer; we own the brand and IP for our products. Some of the distributors we work with have listed our items on Amazon over the years. We’ve finally decided to run our own Amazon storefront, but the fact that our products are already listed is making this difficult.
We’ve been approved on the Brand Registry for our brand, using our trademarks, and have been recognised as the owner of our GTIN prefix we have registered with GS1. After much headache, I’m now able to list new products. However, the trouble is with the existing products. We make gin, and my intention is to make a master ASIN, under which I will have our various different flavours as variations, along with a 70cL and 5cL size option.
Because our products are already listed, when I enter the EAN for the variations, it recognises that this product already exists on Amazon, which should be fine, I think. However, because the people that initially listed the products on Amazon have also listed variants for size, I’m unable to list it with the correct variations. The original uploaders used the ‘size’ variation to sell different quantities. So where I would like to list 70cL and 5cL variants, these are not allowed as they conflict with the “Single Bottle” and “Case of 12” variants that are currently listed.
It’s very frustrating as the brand owners, as many of the listings have awful and inconsistent photos, incorrect information, and is getting in the way of presenting our products correctly, and all I can do is ‘suggest’ changes. Ideally, I’d like to delist everything and have a do-over, but I understand that’s not possible. What’s the best procedure for doing what I need to do here?
New UPCs really aren’t an option for us unfortunately. I think we’ll go down the second route, but we need to talk to the distributors first as we are on good terms and don’t want to upset them by suddenly taking down their listings.
It seems bizarre to me. There’s products of ours there that literally have the wrong name, and others I can’t get recognised as our brand, as the wrong brand name was used when the item was listed, and because the ‘key field’ is the ASIN which cannot be edited, I also can’t update the brand.
Even though our GTIN prefix has been recognised as belonging to the brand by Amazon, it is still an uphill battle to get our brand recognised as the owners. And even once recognised, we still seem to only be able to shout into the void with ‘recommendations’ which are ignored!

For right or wrong, this means that the product is not identical to yours as it now has a different “brand” on the listing. You cannot change this now. Brand names cannot be changed once on the listing.

You also cannot force off the existing sellers by trying to change the listing - I doubt Amazon will let you do this anyway.

Download an inventory file with the incorrect/existing entries. Copy it. In the copy correct any fields so they are as they should be. Make sure the files are named appropriately.
Then open a case with seller support and ask for it to be forwarded to the catalogue team to be corrected. Include the email address registered with brand registry in the Cc list on the case, mention the email address and any relevant trademark numbers, and include a scanned headed letter stating your seller account email address has authority to manage your products and list each of the EANs and ASINs in the inventory file. (Even if the letter is from you to yourself.)
If the seller support bots try to run you around, politely ask that it be forwarded to the catalogue team for correction.
When it gets to the right person, they will action your request. It might be frustrating to get to that point though!
I will note though, be careful when ‘rearranging’ existing child/parent relationships. It is quite easy to accidentally break listings. It sounds like you want to create a two level structure - unit size and case size. Hopefully the incorrectly listed items can be mapped back to a correct relationship.
