Warning - Seller Fulfilled Prime - Performance drop in Buy Shipping Service Usage Rate

I have just received a warning regarding my SFP buy shipping usage has dropped to 33% for week 45. I don’t do huge amount of SFP but every bit helps. Last Monday 4th November '19 I accidentally shipped my SFP orders (4 orders) from my 3rd party Multi Channel software before I had bought the shipping through Amazon. I realised 2-3 mins after but by then it was too late as the orders had been marked as shipped on Amazon and the option to buy shipping had gone, making it impossible to purchase the shipping through ‘Buy Shipping’. I immediately contacted SS by phone and spoke to a representative who basically told me what I already knew and was advised to ship as normal and upload tracking details. All the orders were shipped by RM 24 tracked and tracking uploaded. Basically the same as SFP, only difference was that I hadn’t bought the shipping through Amazon. Amazon has recognised the tracking and the 4 orders were delivered the next day, 05/11/19.

I have pasted a copy of the email received from uk-sfp-mss-performance@amazon.co.uk. Before I start to compose a POA any advice would be much appreciated. If anybody has an example of a POA for this type of suspension then that would be great. Thanks in Advance…

Your Amazon Buy Shipping Usage rate for your Seller Fulfilled Prime orders has fallen below the 98% requirement of the program.In the period from 4th November to 9th November (Week 45) , your Buy Shipping service Usage rate was 33.33%

Amazon Buy Shipping Usage is calculated as the percentage of Prime orders where Sellers have purchased shipping through the Buy Shipping Services. In cases where no options are provided to you in Amazon Buy Shipping, you are permitted to use other carriers but must provide tracking for these shipments.

One of the requirements of the Seller Fulfilled Prime program is to buy ship labels for at least 98% of your Seller Fulfilled Prime orders from Amazon Buy Shipping. Failure to meet the program requirements will result in suspending your eligibility for Seller Fulfilled Prime and turning off the Prime badge on your Seller Fulfilled Prime items.

In order to avoid losing your eligibility, you need to submit a Plan of Action that explains:

  1. Why your Seller Fulfilled Prime Amazon Buy Shipping Usage rate has fallen below the 98% level?
  2. What actions are you taking to remedy the situation?
  3. What measures you are putting in place to avoid the reoccurrence of this problem?
  4. What is the time frame for the implementation of this POA?

We also recommend that you review your Prime Shipping template so that it is linked to the carrier(s) that you are onboarded with. Incorrect linking could impact the number of orders you are eligible to purchase through Amazon Buy Shipping. Note: you should only select those carriers that have been linked with Amazon."

Please note: your Performance metrics are subject to change over time as the data matures in our system.

Hello,
So what exactly are you asking here? If they have not taken you off SFP I would think you would be fine just responding to the email as long as your metrics return to normal in the coming weeks.

This is a standard automated email from Amazon when you drop below the targets on the metrics. I would just respond to the email laying out what you have said here and ‘steps’ you will take in future to stop it happening again - ie. you have put new processes in place so that SFP orders are done first so this wont happen again, etc… Be sure to include the time, date and contents of your call to SS, with case ID too.

I had exactly the same notification today - Amazon assured us that if there were oversize items or orders going out of Amazon logistic countries then we just open a case and let them know.
Just look into your metrics and the orders you had to buy shipping for and tell them

That is a large % difference, so you need to explain only 4 parcels and quote each order number.

When happened to us, it was a glitch on the Amazon Buy Shipping, so not available for a short while, so no choice other than to use an approved courier (eg Royal Mail). You could explain similar if that happened to you, as then that is not your fault. Ours was only 97% though and a fewparcels all at the same time, as when the Buy Shipping resoved, we were ok again.

Make it also known only used approved courier and all were sent and delivered on time to fulfil PRIME requirements

Inform how you check etc
