Royal Mail Invoices

Hi Little Shop,

Hope you are well!

Can you please tell me how you reconcile Royal Mail invoices? I have few surcharges but I can’t seem to relate them to any orders on my C&D account through what RM provide on the actual invoice download?

I don’t send anything hardly using a tracked service usually 2nd Class, any help greatly appreciated.

I’m old school - as i only send via c&d anyway, at the end of each day when i manifest , i write the total on a piece of A4 paper along with the running total and know that when it gets to a certain amount, I’ll be charged and then when the invoice comes, I can check the 2 match

you should be able to log onto the e-invoicing portal and it will give the the tracking numbers (delivery confirmation numbers) of those they have applied a surcharge to. If they are from amazon you can enter the tracking number in the manage orders search box to see the order in question , and likewise do the same on c&d for those orders

I had my 1st surcharge in July. I found the information on the invoice is poor.
The only way I could find out which was the item in question was inputting the tracking code in Click and Drop. This brought up the order details.
If this is not working for you, request a photo of the item from Royal Mail. - They will send a scan photo and it will show the address label. You will be able to find the item that way.

I dread to think how many wrong surcharges I will get now this one has happened, Mine was wrong, not just a mistake from myself.
1st application of wrongful surcharge got turned down too!!
Even though the evidence photo of the item - an A5 Envelope - actually backed up my case!
They claimed it weight over 1.25kg!!

I have successfully got a refund, but what a hassle!

RM surcharges are usually for incorrect weight or size issues. If you cheeck on the RM invoice portal the pdf copies on the site should tell you what the surcharge relates to. So it should show that you might have, lets say, sent a large letter format item but one of the dimensions is outside of the allowable size, etc.

It’s so poor to navigate their invoicing we have given up. If our surcharges are below X we simply chalk it up to the cost of doing business. In the early days, we would tooth comb the whole thing but it’s such a time sink.

It looks like many people are having their “first surcharge notice” from RM this year. :face_with_monocle:

Yes, the economy is bad and RM is just trying to recover their losses. But their means of doing so is rather indiscriminate, and frankly, it looks a little like bullying to me.

This is going to happen more and more moving forward. So keep a tight record of all your manifests and consignment lists. They will come in handy.

The mystery surcharges on the monthly invoice could well be the fuel surcharge - I had this issue a while back and then when explained it became a ‘ahhhh I see’ moment

Royal Mail invoices dont tally up with anything, i have had this for months since moving to C&D before that my daily totals always tallied up, last invoice for example i sent 26 x 24Packets on 5th July, but invoice said i sent 13!! another day i send 5 but says i sent 19!! i really dont know how it works, but i do know they charged us once for someone else’s return labels this was over 3 years ago, but it amounted to £1800 luckily i spotted it as was in our busy period when somethings get over looked, hope you can make sense of it
