I'm reaching out for advice on how to handle a VAT verification issue with Amazon. They've informed us that our disbursements could be temporarily withheld worldwide due to questions about our VAT establishment in the UK.

Our business is a UK Limited company, VAT registered for over 6 years, and legally compliant with all VAT requirements. However, we use a virtual office address, and Amazon is requesting proof of a physical operating address. They won’t accept any documentation other than a rental agreement or utility bill, which I can't provide since our registered business address is not our physical location (I prefer not to use my home address publicly) I’m sure that I’m not unique in this situation.

After extensive discussions with an account specialist, it seems Amazon will only accept specific documents like a rental agreement or utility bill for verification. Unfortunately, I cannot provide these for my virtual office and I am unable to switch the address to my home at this stage of verification.

Amazon's stance is that if we cannot verify being established in the UK they will demand the ‘unpaid’ VAT from us . This is confusing and seems unfair, given that we've been diligently VAT compliant for over six years and legally required to be VAT registered (Our turnover is above the threshold).

Has anyone successfully navigated this verification process with a virtual office address? Any guidance or suggestions would be greatly appreciated.

I am also facing the same issue and was considering changing my business address to my home address, you mentioned you were not allowed to do that at this stage of the verification process, why is that? Is amazon blocking you from changing the business address?

Also, how long did it take for Amazon to review your submission(s)?, I have been waiting nearly 5 days now and had no response to my latest document submission.

If you have any updates on your case it would be great to hear as I am currently going through the same case!

Trademark transfer and listings

Hi All

I currently sell a brand on Amazon owned by my Uncle. He has separate amazon account where the original listings were created but hasn't sold for last few years. He keeps the account open because we were worried the listings might disappear and wanted to have option to sell again. The brand is registered and my account is admin on the brand so I have access to a+ etc. He now wants to fully retire and sell me the brand/trademark. As he still pays £30 a month account fees.

1. I am worried if deletes his account the listings might disappear also. I assume they are stored in the brand registry so can someone assure me the listings will still be available and active on my account?

2. If I do buy the trademark do I tell brand registry about the change and move from admin to owner or is that not possible is admin the most I can be? If he deletes his account will the brand pass onto me in brand registry automatically or is there going to be some unforeseen issues?

FBA shipment, stock doens't match ASIN

Hi all,

I have had an email from Amazon this morning suggesting that the barcode of the stock i have sold does not match that of the ASIN. They have suggested creating a new listing which is ridiculous and state that the stock will be received as unsellable in 3 business days if not resolved.

I have sold the exact same stock on the exact same ASIN via FBA for well over a year now with no issues, so i am struggling to understand how this can all of a sudden be a problem.

I have opened a contact request but no doubt will get some generic automated rubbish back from Amazon. Has anybody had a similar experience of this and are able to shine a light?

Fraudulent Seller Activity - Need Help!

We currently sell on a high traffic listing with high competition. On 3 occasions in the last 6 months, we have had fraudulent rights owner complaints. Each time from random gmail addresses. Somehow they are creating fraudulent documents to convince Amazon that they're the rights owner/ agent and then getting sellers removed from the listing.

How do we know it's fraudulent?

- The manufacturer is a billion dollar company, they would not be using gmail addresses for notifications

- Each time the email address is a different gmail address with no company details

- The same connected sellers all from the same part of the UK, are always the only remaining sellers

We can't get our invoices approved as they don't have the right owner details that are fraudulent and which Amazon will not share with us.

We need someone in Amazon CS to look in to this but no one wants to look in to it.

Can someone let us know who we can get in touch with?

In the message the green 'auto-authorised' box is ticked, and I am given for options to click on to proceed: 'Edit Authorisation', 'Issue Refund', 'Complete' and 'Contact Buyer'.

Do not click on any of them until you have received the book back. Once returned and if it is in the same condition as which you sent it, you click Issue Refund. Regarding the returns label can you see it against the order? Knowing Amazon they will have given a pre-paid label. In which case you can deduct the postage cost from the refund, but be prepared for an A-Z claim.

Also, do Amazon keep their commission on the amount the buyer paid, or will that be returned to me?

Amazon keep 20% of the fees.

Hello,

I've recently had a couple of negative customer reviews because the buyer thought the product was a different material to what it actually was.

Unfortunately it seems Amazon have completely overridden what I've contributed on the listing and gone in with their own thing. These are our own brand and until a couple of weeks ago, they were happy to accept what we had contributed.

This is just completely ruining listings as we are getting unnecessary 1* reviews and there's nothing we can do about it.

Can a moderator look into this please? Or does anyone know of a way to get these removed?

Effective August 1, 2024, Selling on Amazon, Fulfilment by Amazon, and all other services currently supplied by Amazon Services Europe S.à r.l. (ASE) will be supplied by Amazon EU S.à r.l. (AEU). All agreements, policies, terms and conditions currently referring to ASE, including Amazon Payments agreements, will be updated to AEU. Additionally, all invoices issued by Amazon will be issued by AEU instead of ASE after August 1, 2024.

If your company is established in the UK, Germany, France, Italy, Spain, Netherlands, Poland, Belgium or Sweden, you will be invoiced by the AEU branch in your country of establishment. As a result, local VAT rules apply and and VAT will be charged on your Amazon fees. In the majority of cases, we expect that you will be able to recover this VAT through your normal VAT return process.

We recommend that you contact your tax advisor for more information on recovering VAT as per your country of establishment's local regulations.

If your company is not established in the countries listed above, you will be invoiced by the AEU head office in Luxembourg, and there will be no change to how VAT is applied on Amazon fees.

Note: This change doesn't impact your account access, listings, product pricing, customer reviews, selling services or the price of services.
