So i use click and drop rm48 for most of my order with some letters going 2nd class automatic update of dispatch and “tracking number”…
I was under the impression from the last web release from amazon that any unscanned orders would be “validated” so i thought we had crossed that bridge and saw my vtr sat at 70% odd with nothing more i could do other than hope amazon validate orders before penalising me.

A major part of a delightful customer experience shopping online is for customers to know when they will receive their purchase. The promise of knowing the exact delivery time and being able to plan for it, is just as relevant to customers as finding the right product and price. Adding tracking to each delivery ensures customers feel confident and excited to shop online, leading them to keep coming back to buy more.
I did read on the forum on how to write a successful plan of actions which stated to be to the point and not to go off target (i tried my best)
So i sent off my appeal which is

Dear Amazon, Thank you for your time, we have below our plan of action to improve our Valid Tracking Rate
The root causes that led to a lower than expected Valid Tracking Rate.
The reason our valid tracking rate had dropped below was as initially we were told by our royal mail postage manager that orders would be scanned by their drivers to confirm delivery of the item. however this was not the case as amazon had made us aware that orders were not scanned at the point of delivery, we felt the royal mail would make more urgency on there end being that this would affect so many amazon sellers vtr.
After a second call to our postage account manager at the royal mail we were then advised that amazon would validate every order which appears to have not been scanned at the point of delivery and would not penalise us. In hindsight I believe this was not the case and has put our business at risk losing us a vital catagory.
We have since read the valid tracking rate Information page in depth to address this issue, which have made us aware that by using the buy shipping function on amazon we would be able to continue using the royal mail services and this would improve the Valid tracking Rate score, as tracking information is shared directly between both parties.
"Buy Shipping: Consider using Buy Shipping, which allows you to buy shipping labels through the Seller Central interface. With Buy Shipping, the shipping service provider, delivery method and tracking ID are automatically provided by the shipping services provider to Amazon, and all tracking IDs received by Amazon through Buy Shipping are considered valid. In the UK, DPD, Hermes, Amazon Shipping and Royal Mail delivery methods are available through Buy Shipping. "
We are glad to say we now dispatch all orders using buy shipping and find the process much easier to manage. We will continue to monitor our valid tracking rate to ensure it does not fall below the target.
By having a more reliable shipping option with more accurate tracking details we believe our customer satisfaction ratings will go up and we will be able to offer a amuch smoother end to end service. we take pride in offering great customer service and hope to continue our journey with amazon.

Any advice on where i went wrong and how to make it right, they are asking for more detail but have not really specified what. any help is greatly appreciated as ever

those were your issue as ALL letters through click and drop are invalid for VTR
did you actually check your VTR defect report as that would’ve shown that the letters were invalid ?
i’m surprised that they have rejected it even though you have said you are now using buy shipping
are you using buy shipping for all orders now as there are reports that you can print off labels for Letters ?
There also was no mention of you reading and understanding the policy which maybe an issue
Maybe the wording above could be more in ‘Amazon Speak’ it might sound fickle, but even missing out the word ‘policy’ might have gone against you.
I think your on the right track to getting reinstated, it maybe just needs a minor re-word and include a link the VTR policy as the The Little Shop mentioned.
I would also use 3 headings on the lines of:
What went wrong to cause the issue.
What you’ve done to put it right.
What’ll you’ll do to ensure it doesn’t happen again.
We had the same issue with VTR this week, and a major head ache for a few days. Our appeal was rejected a few time, due to not mentioning reading the policy, and not understanding it and how we would familiarize ourselves with it on a regular basis.
We also mentioned how we would buy shipping labels via Amazons Buy shipping Portal to be compliant.
